ARTICLE SUMMARY
This article explains instructions on how update or create new Regional Council names across the various ChurchHub sites.
Important Note
- Regional Council names are associated with ministers and community of faith records as well as a number of workflows and forms. It is important that all steps outlined in this KB are followed in the order prescribed.
- Changing a regional council for a minister or community of faith during this process may result in unexpected behavior.
- Exact spelling of the regional council names is critical here
Azure Security Groups
1. Navigate to https://portal.azure.com
2. From the left-hand navigation, select Azure Active Directory
3. Select Groups
4. Click + New group a
5. Set Group type to Security
6. For the New position approval group, set the name to RC<RC ID>-<Initials>-Position-Approve
So, for Pacific Mountain Regional Council that used to be Regional Council 1, the group name is RC1-PM-Position-Approve
7. Repeat steps 1-5
8. For call/appointment search request approval group, set the name to RC<RC ID>-<Initials>-Minister-Approve
So, for Pacific Mountain Regional Council that used to be Regional Council 1, the group name is RC1-PM-Minister-Approve
Updating Regional Councils in Dynamics 365
1. Navigate to https://uccsandbox.crm3.dynamics.com.
2. From the top navigation, select Service and then Accounts
3. If you are creating a new regional council, skip to step 8
4. In the right-hand search bar, type in the name or partial name of the regional council you wish to change and click the magnifying glass
5. Click on the Account Name of the regional council you wish to rename. The Account screen will open.
6. Click the Account Name value (the current regional council name) and change it
7. Then, click the save button on the far right-bottom corner of the screen
8. If you are modifying an existing regional council, skip to the end of this section
9. Click + NEW at the top-left corner of the screen
10. In the Account Name, enter the name of the regional council
11. In the Ministry Type (mission unit type) field, type in Regional Council Office or search for it by clicking the magnifying glass
12. Then, click the save button on the far right-bottom corner of the screen
Updating Email Template
13. Navigate to https://unitedchurch.sharepoint.com/sites/churchhub/lists/emailtemplates.
14. Click the Quick edit link
15. You may add a new regional council or modify an existing email template.
a. If a new regional council is being added, you will need to add two new items. Scroll to the bottom of the list and fill in the Title, UCCEmailTemplateType, UCCEmailTemplateBody, and UCCEmailRecipients as described in section 15c below.
b. If renaming an existing regional council, modify the Title, UCCEmailTemplateType, UCCEmailTemplateBody, and UCCEmailRecipients for the appropriate items as described in section 15c:

Updating Combo Lookup List
1. Navigate to https://unitedchurch.sharepoint.com/sites/churchhub/lists/combolookuplist
2. Click the Quick edit link
3. You may add a new regional council or modify an existing combo lookups.
a. If a new regional council is being added, you will need to add one new item. Scroll to the bottom of the list and fill in the Title, FieldName, Label, Value, FieldOrder, Language, and Long Label as described in section 3c below:
b. If renaming an existing regional council, modify the Title, FieldName, Label, Value, FieldOrder, Language, and Long Label for the appropriate item as described in section 3c:

Updating PowerApps
1. Navigate to https://powerapps.microsoft.com/en-us
2. On the top-right corner, click Sign in
3. Verify that the Environment is set to Default UCC Environment on the top-right corner of the screen. If not, select it.
4. Click the Apps icon on the left menu
Update Update My Profile (Multilingual) PowerApp
1. From the Apps listing, click on the ellipses next to Update My Profile (Multilingual)
2. Click Edit
3. Click the Regional Council Availability drop down
4. Update the Items to reflect the new/updated regional council name(s)
5. Click File
6. Click Save
7. Click Publish this version
Update Submit IT Help Desk Ticket PowerApp
1. From the Apps listing, click on the ellipses next to Submit IT Help Desk Ticket
2. Click Edit
3. Click the Region/Unit drop down
4. Update the Items to reflect the new/updated regional council name(s)
5. Click File
6. Click Save
7. Click Publish this version
Updating Site Columns
1. Navigate to https://unitedchurch.sharepoint.com/sites/contentTypeHub/_layouts/15/mngfield.aspx
2. Scroll down to the UCC section and click on the UCCMinisterRegionalCouncils Site column
3. Under Additional Column Settings in the Type each choice on a separate line, modify the regional council names
4. On the bottom-right corner of the page, click OK
5. Repeat steps 2-4 for the Regional Councils field
