Approving/Rejecting Photo Requests

This document provides the steps and processes the Approvers within the Digital Asset Management system must take in order to complete the photo upload and photo request processes.

Approvals

When a user has completed the upload of their photos and set the metadata, they will indicate they are ready to move the photos into the digital asset management system.
Follow these steps to complete the process:
- As users request permission to move data into the asset database, approvers will receive an email indicating the request:

Before clicking approve or reject, click on the link to view the contents of the document set (folder) being uploaded.

The link will take the approver to the location the photos are being prepared. All of the metadata is listed there for review. Ensure all required metadata has been filled in by the uploader(s).

Once the photos have been reviewed return to the email and select approve or reject as necessary.

An optional text box will appear to provide the means for feedback. It is highly recommended to provide feedback if the photos are rejected.
- Click Submit after entering feedback.
Approving/Rejecting Photo Requests
When users request access to utilize photos from the Digital Asset Management system, an approval request will occur should any photos in the request not have an availability value of Public.
Use the following steps to complete the approval process:
- When a request is received the approvers will receive an email requesting permission. The email will contain the list of the photos that are not public as well as the reasons for requesting the photo.
- Note: Only photos that are not public are listed in the email. Any photos with availability of Public will be bundled with the non-public photos should approval be received but are not required for approval.
- Clicking on the photo will take the reviewer directly to the photo. It will also allow them to review the metadata connected to the photos.
- Once the photos have been reviewed return to the email and select approve or reject as necessary.
- An optional text box will appear to provide the means for feedback. It is highly recommended to provide feedback if the photos are rejected
- Click Submit after entering feedback.
