This article explains how to resolve duplicate contacts in Dynamics.
Flagging Duplicate Contact Records in D365
Because Dynamics is now home to contact data for many purposes/units, and to ensure no data is lost accidentally, we have restricted who can merge contacts.
However we know that many will be able to more easily identify duplicates if they are working closely with the contacts. Therefore the following process was established to make flagging duplicates easy.
If you encounter two or more contacts that you are certain are the same person in Dynamics 365, please follow these steps:
- From the Contacts list view, check the box to the left of each contact you think are duplicates to select them.
- Select the three dots at the end of the Command Bar, and select “Email a link”. This will open Outlook, and include the name and link for each record in the database.
- Add “Dynamics duplicate contacts” in the subject line of your email, and send to helpdesk@united-church.ca. Feel free to add any context to the email that may be helpful, especially if key data (like email or city) has changed.
- The email will then be assigned to the correct person for review, and if approved merging the records.
